Volunteer Event Coordinator

Position Overview: As the Event Coordinator, you will play a pivotal role in organizing and coordinating all aspects of our events, from conception to execution. You will work closely with our team to ensure that each event runs smoothly and successfully, leaving a lasting impact on our attendees. This position offers the opportunity to unleash your creativity, problem-solving skills, and passion for bringing people together through engaging and meaningful experiences.

Key Responsibilities:

  1. Event Planning and Execution:
    • Take the lead in planning and organizing a variety of events, including fundraisers, and community outreach events.
    • Develop event concepts, themes, and timelines, ensuring that each event aligns with our organization’s mission and goals.
    • Coordinate logistics such as venue selection, catering, entertainment, transportation, and equipment rentals.
    • Oversee event setup, execution, and breakdown, ensuring that all elements are executed seamlessly and according to plan.
  2. Collaboration and Communication:
    • Collaborate closely with internal team members and external partners to ensure alignment and effective execution of events.
    • Serve as the main point of contact for vendors, sponsors, and event participants, providing excellent customer service and addressing any concerns or inquiries.
    • Communicate event details, timelines, and expectations to all stakeholders, keeping them informed and engaged throughout the planning process.
  3. Budget Management:
    • Develop and manage event budgets, tracking expenses and ensuring that events are executed within budgetary constraints.
    • Seek out sponsorship opportunities and secure funding or in-kind donations to support event initiatives and offset costs where possible.
